The UNESCO Hong Kong Association is delighted to extend a special invitation to our member schools to join the UNESCO Hong Kong delegation for the International Assembly of Youth for UNESCO (Y4U) 2025, organised by the National Coordinating Body of UNESCO Clubs in the Philippines. This prestigious event will take place from November 20 to 23, 2025, and we believe it offers a valuable opportunity for students to showcase their talents and represent Hong Kong’s youth on an international stage. We also hope to help bridge Hong Kong and Philippine schools for further exchange opportunities, enhancing the global connectedness of our member schools’ network.
Under the theme “Strength in Action: Harnessing the Collective Power of Youth to Lead with a Heart, Purpose, and Integrity,” this year’s programme promises to be both engaging and impactful. Highlights include:
- Keynote and plenary sessions focused on sustainable development, designed to deepen students’ understanding of global issues.
- A variety of fun and creative contests, such as essay writing, spoken poetry, short film making, extemporaneous speaking, quiz bowl, and an on-the-spot poster-making contest.
- Cultural nights and networking events to promote cross-cultural understanding and global citizenship awareness.

Participating in Y4U 2025 will not only allow students to develop their skills and knowledge but also empower them to become ambassadors of sustainable development. This is a unique platform for students to exchange ideas, build international friendships, and gain exposure to diverse cultures and perspectives.
Participant Requirement: High School Students or Teachers from UNESCO Hong Kong Association Member Schools (https://unesco.hk/web/schools-network/)
Participation Fee: HKD $ 7,500 / delegate (same price for students / teachers)
The fee covers the conference fee, flight, local transportation, meals, accommodation and public liability insurance (Nov 20 – 23)

A. Participation Eligibility & General Information
Organizer: The trip is organized by the UNESCO Hong Kong Association. The event “International Assembly of Youth for UNESCO (Y4U) 2025” is organised by the National Coordinating Body of UNESCO Clubs in the Philippines.
Eligibility: The trip is open to registered high school students and teachers of UNESCO Hong Kong Association Member Schools.
Travel Documents: It is the sole responsibility of the parent/guardian to ensure the participant has a valid passport (with at least 6 months validity from the return date) and a valid Philippine visa (if required). The Organizer is not liable for denied entry due to invalid documents.
B. Registration, Payment, and Pricing
Deposit: A non-refundable deposit of HKD 7,500 is required to secure a place. Spaces are limited.
Payment Schedule: The payment must be made on or before October 10th , 2025 to the secretariat of the UNESCO Hong Kong Association – The Hong Kong Institute of Education for Sustainable Development.
Price Includes:
· Return economy class airfare (Hong Kong <-> Manila).
· Airport taxes and fuel surcharges.
· Transportation from Manila Airport to the designated hotel.
· Accommodation in a shared room at a designated hotel (arranged by the National Coordinating Body of UNESCO Clubs in the Philippines).
· All meals as per the itinerary (e.g., 3 breakfasts, 4 lunches, 4 dinners, including during flights).
· Entrance fees and activity costs for the conference.
· Public liability Insurance
Price Excludes:
· Philippine visa fee (if applicable).
· Personal expenses (souvenirs, snacks, additional beverages).
· Luggage excess fees.
· Costs of any personal nature (e.g., hotel laundry, minibar).
· Meals not specified in the final itinerary.
Price Fluctuation: The price is based on current exchange rates and airfares. The Organizer reserves the right to surcharge for significant currency or airfare increases up until the flight booking has been confirmed.
C. Cancellation Policy & Refunds
Cancellation by Participant:
Cancellation after full payment: 100% of the total trip cost is forfeited as costs paid to airlines and hotels are non-recoverable.
Cancellation by Organizer: The Organizer reserves the right to cancel the trip due to insufficient enrolment or unforeseen circumstances (e.g., natural disaster, travel advisories). In this event, a full refund of all monies paid will be issued, minus any non-recoverable costs paid to third-party vendors.
No-Show / Early Return: No refund will be given for any unused portion of the trip due to voluntary early return or no-show at the airport.
D. Code of Conduct & Health
Conduct: Any behavior deemed unsafe, illegal, or disruptive (including possession of prohibited substances) will result in immediate disciplinary action.
Consequence: The Organizer reserves the right to send a student home at the parent’s/guardian’s expense for serious misconduct, with no refund provided.
Health: Parents must disclose any medical conditions, allergies, or dietary requirements on the provided medical form. Students must carry and administer their own medication.
E. Travel & Itinerary
Itinerary Changes: The Organizer reserves the right to modify the itinerary, accommodation, or transportation due to local conditions, weather, or other unforeseen events to ensure the safety and well-being of the group.
Flights: The group must travel together on the designated group flights. Participants may not deviate from the group flight itinerary.
Rooming: Accommodation is based on shared rooms. Rooming lists will be created by the National Coordinating Body of UNESCO Clubs in the Philippines. Requests are considered but not guaranteed.
F. Liability & Responsibility
Assumption of Risk: Participation in the trip is voluntary. The parent/guardian and student understand and acknowledge the inherent risks involved in travel and voluntarily assume all risks.
Release of Liability: The parent/guardian and student release the UNESCO Hong Kong Association and its employees from any and all liability for personal injury, property damage, or loss incurred during the trip.
Force Majeure: The Organizer is not liable for any failure or delay in performance due to causes beyond its reasonable control, including but not limited to acts of God, war, terrorism, natural disasters, or airline operational decisions.
G. Media Consent:
By signing, the parent/guardian grants permission for the student’s image (photos/videos) to be used for school-related promotional purposes (e.g., yearbook, school website).
H. Sharing Sessions
The participants should participate in post-trip sharing sessions organised by the UNESCO Hong Kong Association and be willing to share their experiences.
The UNESCO Hong Kong Association is committed to protecting the privacy and security of your personal data. This section explains how we collect, use, and protect the personal information of students and teachers in connection with the “UNESCO Hong Kong Delegation for the International Assembly of Youth for UNESCO (Y4U) 2025 ” Programme.
1. Types of Personal Data We Collect
We may collect and process the following types of personal data:
– Identifiers: Full name, date of birth, gender, passport number, nationality.
– Contact Information: Home address, student and parent/guardian phone numbers, email addresses.
– Emergency Contact Details: Name, relationship, and phone number of emergency contacts.
– Medical and Health Data: Allergies, medical conditions, medications, dietary restrictions, immunisation records, and other health-related information necessary for the student’s well-being during the trip.
(Special Category Data: Health data is considered “special category” data under privacy laws. We process this strictly out of necessity for the vital interest of the student’s health and safety during the Trip.)
– Photographic and Video Data: Images and footage of students during the Trip.
2. Purposes of Processing
We use your personal data for the following essential purposes:
- To process registration, payments, and administer the Trip.
- To make necessary travel arrangements (e.g., booking flights, hotels, tours).
- To ensure the health, safety, and welfare of all students during the Trip.
- To communicate with parents/guardians before, during, and after the Trip.
- To comply with legal and regulatory obligations (e.g., immigration, customs).
- For insurance purposes in case of an emergency.
- For promotional purposes (e.g., school website, yearbook, social media).
3. Sharing Your Data with Third Parties
To facilitate the Trip, it is necessary to share limited personal data with trusted third-party service providers. We ensure all third parties are contractually obligated to protect your data and use it only for the services they provide. These parties may include:
- Travel agencies and tour operators
- Airlines and transportation companies
- Hotels and accommodation providers
- Insurance providers
- Host country organiser
- Government authorities (e.g., customs, immigration)
We will never sell your personal data to third parties.
4. International Data Transfers
As the trip involves travel outside of the Hong Kong SAR of China, personal data will be transferred to countries that may have different data protection laws. We will take all necessary steps to ensure your data is treated securely and in accordance with this privacy policy, including using specific contracts approved for this purpose.
5. Data Retention
We will retain personal data only for as long as necessary to fulfil the purposes we collected it for, including to satisfy any legal, accounting, or reporting requirements.
6. Your Data Protection Rights
Depending on your location, you may have the right to:
